GUIDELINES

EVEN GAMERS NEED T&CS

the devil is in the detail

If your community or club has over 50 members or you are a charity and you believe that you qualify within the guidelines outlined below you could be seeing benefits such as:

  • reduced or waived venue hire

  • support from Fortress in the successful execution of your event

  • and a new home!

All events, series or seasons of events are on a case-by-case basis and will be judged according to the below criteria. Read on!

  • GUIDELINES: THE FINE PRINT

Please read through the guidelines related to our Fortress Grassroots Initiative.

Scroll right through this section to read all 11 conditions and then submit your application via the link below.

We look forward to welcoming your community to Fortress - the home of games culture!

  • 1: Event or events?

It must be understood that all events may be considered by Fortress as isolated and individual. Being approved through this initiative for one event does not mean you are approved for others.

Equally however, it is completely possible that Fortress may approve multiple events if requested - such as seasons, quarterly events etc.

  • 2: Time of the year

There are periods in the calendar where it may be more difficult to book events.

    These are:

    June 2025 - Aug 2025, Thurs/Fri/Sat

    Nov 2025 - Dec 2025, every day

This is by no means a denial! These are just our most busy periods. Feel free to ask anyway - but if you avoid them in the first place, it is likely it will be much easier to fit you in.

  • 3: Scheduling conflicts

In any situation where it is required to move a grassroots event due to a scheduling conflict, all efforts will be made to find an alternative date that suits the grassroots community.

  • 4: what we do for you

Fortress will assist as much as possible to ensure your event is successful. For our grassroots community events, we are, however, unable to provide the following support:

    • Events or project management resource

    • Technical support resource

    • Broadcast / live production resource

    • Tournament operations resource

    • Sponsorship procurement or financial support.

If any of the above is required, Fortress is happy to help - however this will involve a more in-depth conversation and will likely involve costs.

  • 5: venue spaces and tech equipment available

The Arena as a physical space

The Tavern as a physical space

PCs to facilitate gaming in some capacity

The main Arena LED display to show a stream or single PC/setup

A single streamer pod to be used for streaming.

  • 6: do you need more?

Use of the below listed resources can be made available for fees and we welcome such discussions. Please note that our ability to provide resources will be subject to availability:

    • All FX lighting

    • The production control room

    • Any production equipment

    • Technical support for broadcast/streaming

  • 7: Entry fees, competitions and prizes

Where possible we look for competitions to be open to all and free as this embraces one of our core Fortress’ values of building a home.

If you do have entry fees, these should support the prize pool and/or upgrade aspects of your event at Fortress.

A prize pool may not exceed $10,000 AUD with this being the total value of your prize pool, including the value of non-cash prizes.

  • 8: Publisher/Developer Guidelines & Rules

Please ensure that you follow all rules and requirements laid out by any publisher/developer of any game you will be using as part of your event. Our support does not grant permissions to use games for events, (even if Fortress currently runs events using titles from the publisher/developer).

If a publisher/developer contacts Fortress regarding your event, we will do our best to support you but please understand that ultimately that relationship is your responsibility.

  • 9: Expectations For Personal Conduct

Fortress requires that communities respect our home, the space and the people inside it.

This means fostering a positive environment that adheres to Fortress’ own values of building a home for all gamers.

Any poor behavior will not be tolerated. Anything that negatively impacts Fortress’ reputation will not be tolerated. This extends not just to the organizers but the community as a whole.

Let’s make sure everyone acts appropriately!

  • 10: supported by fortress

As part of our grassroots initiative, groups should indicate that the event is “Supported by Fortress”.

    Here’s how you can:

    • Mention Fortress on your promotional materials

    • Tag us in your socials

    • Include the “supported by Fortress” lockup on your promotional materials

Being supported by Fortress does not grant you the right to use the Fortress logo or mark without prior approval or speak on behalf of Fortress

  • 11: content

We consider this a partnership, and as such would love to use the content (videos, photos, broadcast content, clips, etc) of your event to further promote not just Fortress but your community too!

By agreeing to this application it is understood that you accept this. #support
